Guidelines for Reconciling DDLA Data Sources

Notes for updating/reconciling DDLA data in the data source spreadsheets:

  • No need to download completed DDLAs from the DDLA_DOCS application in AppEnhancer to save in KSO SharePoint; all of the existing PDFs in KSO SharePoint have been crosschecked with existing DDLAs in the DDLA_DOCS application, and any missing PDFs have been manually updated. The DDLA_DOCS application is the one source of truth for existing copies of DDLAs sent to KSO or processed via an electronic workflow in DocuSign and Dynamic Forms.
  • When manually updating the "database" with PDFs or paper documents (which need to be scanned to PDF file format) the DDLA information will need to be entered in the Historical Data spreadsheet located in KSO SharePoint > Power BI Datasets > DDLA.
  • Replace “-“ with “/” for slashed courses using the following format: 4/51234.
  • Use the following naming conventions for special topic course titles: (XX095), for example, ST: Medication Calculation.
  • Make sure to remove the revision number (R1, etc.) from the course title.
  • Update course titles to match the university catalog, for example, “Intro” should be updated to “Introduction…”.
  • When updating records in the DDLA_DOCS application, remember AppEhancer will automatically change all index field values to uppercase, so there is NO NEED to worry about capitalization for course titles.
  • When updating records in the DDLA_DOCS application, remember to remove commas from the course title to make it easier to search.
  • Make sure all data sources are using the course developer’s full last and first name as it appears in the University's directory.
